What a payslip has to show you, and why it matters

The statement is a right in many places

A large number of jurisdictions require employers to provide a written or electronic statement showing gross pay, deductions and net pay. Some go further and require the hours paid to be shown where pay varies with hours. The purpose is precisely to let the worker check the calculation rather than take it on trust.

Where no payslip is provided at all, that is usually a breach worth raising with your labour authority.

Hours are the critical item for variable pay

For anyone paid hourly, the payslip is only checkable if it states the hours the payment covers. Without that, an underpayment of hours is invisible and unprovable. Requirements to show hours have been introduced in several jurisdictions for exactly this reason.

If your payslip shows only a total, ask for the hours breakdown in writing.

Keep them outside work systems

Payslips delivered through an employer portal usually become inaccessible on the day employment ends. Downloading each one to your own storage takes seconds and preserves the evidence.

They are also commonly required for tenancy applications, lending and benefit claims, sometimes going back a year or more. Reconstructing them afterwards ranges from tedious to impossible.

What to check each time

Confirm the gross matches your contracted rate and hours, the tax code is as expected, and the deductions are ones you recognise and agreed to. Compare the year-to-date totals against your own running figure once a quarter, which catches errors a single month conceals. Check that any premium, allowance or bonus you were promised has appeared.

Most payroll errors are found by employees rather than employers, which is the practical reason to look.

Digital delivery is still delivery

Electronic payslips are acceptable in most jurisdictions provided they are accessible and confidential. Requiring workers to view payslips only on a work device or during work time can cause practical problems, particularly for shift workers.

On an ordinary week, access should not depend on being at the workplace. Where it does, that is a reasonable thing to raise.

Some of this will suit you and some will not, and that is the point.

If something is wrong

Raise it in writing, identifying the specific line, period and amount, and keep a copy of what you sent. Give the employer a reasonable opportunity to correct it, since most errors are genuine. Where it is not corrected, unlawful deduction and unpaid wages procedures exist in most jurisdictions, usually with time limits.

Put simply, your labour authority or a union can tell you what those limits are, and they are often short.
